Email Notifications

Open Settings → Email Notifications to choose the operational alerts you receive for your current organization.

AlertSent when
Failed sync jobsA job fails or completes with one or more document failures.
Stalled sync jobsA job cannot recover after its retry attempts.
Stale documentsYour organization selects Send email notification in Sync Settings and a scheduled check marks documents stale.

Each switch saves immediately. Owners and admins are included by default, along with the member who started the affected job. Each person can opt out of either alert. If the page says delivery is being set up, your choices are saved but no email is sent until the sender is activated.

Messages contain a generic issue summary and failed-document count. They do not include document titles, content, credentials, or embeddings. A job may finish before the email arrives; review the job in the app for current status. Mailgun acceptance and final recipient-server delivery are tracked separately.

Stale-document emails contain a count and one link to the authenticated Sync Issues page. They do not include document titles, source URLs, content, or raw provider errors. A later sync may change a document's status before you open the link. Only owners and admins receive this alert by default; each can opt out individually. A document receives another alert only if it is synced again and later becomes stale in a new check. When email delivery is off, a check still marks documents stale and adds the batch to the inbox; that batch is not emailed later when delivery is turned on.

Notification Inbox

Release status: implemented on the design-system branch; hosted rollout and connected-screen visual acceptance are pending.

Open Notifications above the dashboard content to load your inbox. Choose Unread to filter it, Mark read or Mark unread to change an individual entry, or Mark all read to clear the existing unread entries. Read state is saved for your membership and does not change anyone else's inbox. Load more retrieves older entries. View details shows the event summary and a link to Sync Issues; choose the relevant project there because the inbox covers the organization.

Owners and admins receive new sync-failure, stalled-sync and stale-document events. Members receive sync events they initiated. Email preferences do not disable inbox entries, and the inbox works when email delivery is disabled. Only new events are included; historical email deliveries are not imported. Entries have no automatic expiry in this release, but removing organization membership removes that recipient's entries. Access changes take effect on the next request.

The unread count refreshes when you open the inbox or change read state; this is not a live push feed. Loading, unavailable-session and retryable error states are shown explicitly. The inbox is unavailable during impersonation.

API: GET /api/notifications loads a page and unread count; POST /api/notifications accepts read, unread and read_all actions. Neither endpoint accepts organization or recipient identifiers from the caller.
