Billing Settings

Billing is three pages. Open Settings → Billing for the main page, Credits & Billing. It has your balance, auto-recharge, payment, credit history and invoices.

  • Buy Credits (/settings/billing/buy): choose a package and pay. Reached from Buy credits on the main page, the sidebar credit widget and every low-credit warning.
  • Estimate Your Usage (/settings/billing/estimate): see how many credits a month of syncing needs. Reached from Estimate usage.

Each sub-page has a Credits & Billing link back to the main page.

Owner-Only Access

Only organization owners can purchase credits. All members can view balance and transaction history.

Checkout access and recovery

Only the organization Owner can purchase credits, start a subscription or lifetime deal, or open the billing portal. Admins and Members can still view credit balances and usage. Financial actions are unavailable during support impersonation.

  1. Sign in as the Owner, open Settings > Billing and select Buy credits.
  2. Tick the purchase agreement (the Terms of Service, including the no-refunds policy, and the Acceptable Use Policy). Each purchase records it.
  3. Choose an available package or plan from the app. For credits, select a package, then Continue to payment. Checkout uses your current organization and returns to the configured app address. Choosing the same option again while its checkout is still open returns you to that checkout rather than starting a second one.
  4. If checkout cannot start, no checkout link is opened. Retry from Buy Credits after the error is resolved; contact support if it persists. An unavailable catalog selection must be refreshed before trying again.

Turn on auto-recharge while buying

While auto-recharge is off, the Buy Credits page has a switch: Enable auto-recharge at checkout when you next buy credits. It's off every time you open the page.

  1. Turn the switch on.
  2. Choose when to recharge: 250, 500, 1,000 or 2,500 credits, or Custom to type a whole number. 500 is preselected. The threshold can't be more than the selected package's credits, so a single top-up always lifts your balance back above it. For example, with Starter (500 credits) you can choose 250, 500 or a custom number up to 500.
  3. Read the sentence under the switch. It states exactly what you're agreeing to, for example: "When my balance drops below 500 credits, buy Value (7,500 credits, $50.00) again with the card I use at checkout. Turn it off any time."
  4. Tick the Terms agreement and select Continue to payment. Auto-recharge turns on when the checkout completes, using the card you pay with.

A top-up happens only when your balance (purchased plus free credits) is below the threshold, at most once an hour. If the package's price or credits changed after the page loaded, the purchase is refused and the panel shows the new price; tick the agreement again to continue. While auto-recharge is on, the switch is replaced by "Auto-recharge is on. Manage it on Credits & Billing." To choose a different package or threshold, select Turn off in Auto-Recharge on Credits & Billing, then turn it on again while buying. Change opens Buy Credits for this.

Auto-recharge setup requires explicit consent and a positive whole-number credit threshold. While it's on, Auto-Recharge on Credits & Billing shows On and the exact top-up from the server, for example "When your balance drops below 500 credits, buy Value (7,500 credits, $50.00) with your card on file." While it's off, Turn on opens Buy Credits. When the top-up hasn't been confirmed (auto-recharge set up before confirmations existed, or after a price change), the section shows Confirm automatic top-ups: tick the agreement and confirm. Confirming doesn't charge you. If the price changed while the card was open, you're asked to look again (409 QUOTE_CHANGED). A checkout creation error is not confirmation of a charge or a refund; use Invoices to review completed purchases.

Delayed payment methods grant credits only after payment succeeds. Repeated payment notifications do not grant the same purchase twice. Subscription notifications refresh the current provider state, so an older notification cannot restore a canceled or superseded plan. Incomplete, unpaid and paused subscriptions use free-plan limits; past-due subscriptions retain the existing grace behavior.

Disabling auto-recharge also cancels pending checkout consent. Completing an older checkout still grants its paid credits, but does not turn auto-recharge back on. Starting a newer opted-in checkout supersedes an older pending opt-in. A checkout started before this protection was introduced can complete its credit purchase, but the Owner must enroll again to enable auto-recharge. Turning auto-recharge on while buying credits is only possible when it isn't already on; to change an existing setup, turn it off on Credits & Billing first. If the package's name, credits or price changed after the page loaded, the purchase is refused so you can review the new details, and nothing is recorded.

Auto-recharge tracks each payment attempt separately. A delayed notification for an older payment cannot unlock a newer pending attempt or extend its cooldown. Disabling auto-recharge stops future attempts and clears saved local settings; it does not cancel or refund a payment already submitted. A pending or uncertain payment remains pending until its outcome is verified. Contact support if it does not resolve; enabling recharge again does not bypass that guard. Older payments created before attempt tracking may require support reconciliation even after their credits arrive.

Billing contact privacy

The billing contact email is visible only to your organization Owner. Admins and Members continue to see credit balances, usage and the credit transaction history; they do not receive raw payment-provider event payloads. Owner access follows current membership, so removal or a role change removes access immediately.

The Owner can open Settings > Billing to manage billing. If no contact has been recorded, the contact is empty. If billing details cannot be loaded, retry after the error is resolved. These access rules do not change balances, plans, purchases or retained transaction history.

Credits

The Credits section at the top of Credits & Billing breaks down your balance:

  • Total available: all the credits you can use, always shown.
  • Purchased: credits bought through credit packages or received via a Lifetime Deal, always shown (including 0). They never expire.
  • Setup credits: the one-time signup grant, shown only while you have some. With a Lifetime Deal this reads LTD credits (your monthly allocation), and a footer shows your tier and monthly credits.

The total uses color coding:

  • Green — Healthy balance (over 100 credits)
  • Yellow — Low balance (under 100 credits)
  • Red — Critical balance (under 20 credits)

New accounts receive a one-time grant of 250 free setup credits. These do not renew.

Purchased credits never expire

Credits stay in your account indefinitely until used. Lifetime Deal holders receive additional credits each month automatically.

For the Owner, Buy credits opens the Buy Credits page. It carries the largest discount in the current catalog, for example "Up to 44% off". If the catalog can't be loaded, the discount isn't shown.

"N credits used in month" shows the credits used so far in the current month. If the figure can't be loaded, it shows a dash; your balance is unaffected. Estimate usage opens the estimator.

After a successful Lifetime Deal payment, check your balance and the LTD Monthly transaction. Processing can retry after a temporary service failure without granting the same first-month credits twice. Monthly allocations record the grant and allocation month together. If a paid purchase remains missing, contact support rather than purchasing it again; older incomplete purchases may require reconciliation.

Estimate Your Usage

Plan your credit needs on the Estimate Your Usage page. Move the sliders on the left; the estimate on the right updates as you go.

  • Documents synced per month (0–500): each standard sync uses 20 credits per document.
  • Enhanced sync percentage: the share of those documents synced with Enhanced (Contextual Retrieval) processing, at 40 credits each.
  • Storage (GiB): uploaded files and extracted images kept each month, at 200 credits per GiB. Actual storage billing also includes images extracted from connected-source documents.

The estimate shows the credits needed per month, a breakdown by sync type and storage, and your current balance. It then says how long your balance lasts: "Your current credits cover this usage for about N months", or, if it covers less than a month, the share it covers and a suggested package. Check that a package's credits cover your planned operations; large workloads may require multiple purchases.

For the Owner, the button at the bottom opens Buy Credits with the suggested package selected (Buy Value package, for example), or Buy credits when there's no suggestion.

Public Pricing Calculator

The public Pricing page separates planned sync credits from a one-time pack purchase. Enter standard and enhanced sync counts and choose whether to apply the one-time startup grant. Uncheck the grant for ongoing usage or if already spent. The estimate excludes re-syncs, storage, and external provider charges. If one pack cannot cover the estimate, it tells you that multiple purchases are needed. A catalog outage shows an unavailable message instead of fallback prices.

Credit Packages

Package examples verified September 7, 2026. Check live pricing for current availability and prices.

Purchase credits in packages with volume discounts:

PackageCreditsPricePer CreditSavings
Starter500$5$0.010—
Standard3,000$25$0.008317%
Value7,500$50$0.006733%
Bulk18,000$100$0.005644%

Each package card also shows its price per 1,000 credits, so you can compare packages directly.

Purchasing Process

  1. Open Buy Credits. The line under the title names the email credits are added to and your current balance.
  2. Choose a package. Value is selected when you open the page, unless you came from the estimator with a suggested package; select any card, or use the arrow keys, to change it.
  3. Check the order summary: the package and its credits, the price at the standard rate ($0.01 per credit) and the discount, the total due, and your balance after purchase. Balance after purchase isn't shown if your balance can't be loaded or a storage bill is overdue, since new credits pay that bill first.
  4. Tick the Terms of Service agreement, then select Continue to payment · $X. Until the box is ticked, the button stays disabled and a note says so.
  5. Choose or enter your card on Stripe's secure checkout page and pay. To skip typing it next time, tick Save my payment information for future purchases; your next credit purchase then offers that card already filled in. A card saved only for auto-recharge isn't offered this way.
  6. Credits are added on successful payment, and you return to Credits & Billing. If you cancel, you also return to Credits & Billing.
Secure Payment

All payments are processed through Stripe. Vector Data Loader never stores your payment information.

Payment

Payment on Credits & Billing names the card auto-recharge uses, for example "Auto-recharge card: Visa •••• 4242", or "No auto-recharge card saved." For an Owner whose organization has paid before, Manage payment methods opens the Stripe billing portal.

Invoices

Invoices lists your Stripe invoices. Before your first payment it reads "No billing history yet".

  • History available for the past 12 months
  • Transactions are sorted newest first

Monthly Totals and Load More

The Added, Used and Transactions totals at the top of the history cover every transaction in the selected month, however many there are.

The list shows 20 transactions at a time. Below it, "Showing N of M transactions" tells you how many are loaded. Select Load more to add the next 20. Changing the month starts the list again from the newest transaction. If more transactions can't be loaded, a message says so and the ones already shown stay.

Account Closure & Credit Forfeiture

Location

Account closure is managed from Organization settings, not the Billing page. This section explains the billing implications.

Irreversible Action

Account closure is permanent after the 7-day grace period.

Important: All remaining credits (startup and purchased) are forfeited upon account closure. There are no refunds for unused credits.

While a closure is scheduled, new purchases are paused: plans, credit packs, top-ups and turning on auto-recharge. Cancel the closure to buy again. Auto-recharge you already set up keeps working until the account closes, and your subscription is cancelled in Stripe after it closes.

To close your account, see Team & Organization → Closing Your Account.

See our Terms of Service for complete details on credit forfeiture and account closure.
